Refund Policy

This Refund Policy governs refunds, cancellations, subscription fees, implementation charges, and related payments for Apto AI, a product and service operated by Solution Wagon ("Company", "we", "our", or "us").

By purchasing, subscribing to, or using Apto AI, you acknowledge and agree to this Refund Policy.

2. GENERAL REFUND POLICY

Apto AI is a subscription-based Software-as-a-Service (SaaS) platform.

Due to the nature of digital software, platform access, onboarding activities, infrastructure allocation, and service delivery, payments made to Apto AI are generally non-refundable except as specifically provided under the 30-Day Money Back Guarantee described in this policy.

3. 30-DAY MONEY BACK GUARANTEE (ANNUAL PLANS ONLY)

Customers purchasing a new Annual Subscription Plan are eligible for a one-time 100% Money Back Guarantee.

If a customer is not satisfied with the platform, they may request a refund within thirty (30) calendar days from the original purchase date of the annual subscription.

To qualify:

  • The subscription must be an Annual Plan.
  • The request must be submitted within 30 calendar days from the original purchase date.
  • The request must be submitted by the account owner or authorized administrator.
  • The account must be in good standing.
  • The customer must provide reasonable feedback regarding their experience with the platform.

Upon approval, the Company will cancel the subscription and process a full refund of the annual subscription fee.

4. MONTHLY PLANS

Monthly subscription plans are not eligible for refunds.

Once a monthly subscription payment has been processed, it is considered final and non-refundable.

5. ONE-TIME GUARANTEE

The 30-Day Money Back Guarantee may only be used once per:

  • Company
  • Business Entity
  • Organization

The Company reserves the right to refuse refund requests where fraud, abuse, repeated refund requests, or attempts to circumvent this policy are suspected.

6. EXCLUSIONS FROM THE 30-DAY GUARANTEE

The 30-Day Money Back Guarantee applies only to the first purchase of a new Annual Subscription Plan.

  • Additional User Purchases
  • Add-On Services

  • Third-Party Charges
  • White Label Services
  • Reseller Programs
  • Partner Programs
  • Affiliate Programs
  • Dedicated Infrastructure
  • Custom Development
  • Custom Integrations
  • API Development
  • Custom Features
  • Consulting Services
  • Strategy Services
  • Training Services
  • Data Migration Services
  • CRM Setup Services
  • Workflow Configuration Services
  • Automation Setup Services

7. IMPLEMENTATION & SETUP FEES

Implementation, onboarding, migration, automation setup, CRM configuration, workflow creation, integration setup, consulting, training, and customization services involve dedicated professional effort.

Accordingly, all implementation and setup fees are non-refundable once work has commenced.

8. CUSTOM DEVELOPMENT

Payments made toward custom development, integrations, feature development, white-label customization, API development, or bespoke services are non-refundable.

Once development work has commenced, no refunds shall be issued regardless of project completion status.

9. WHITE LABEL SERVICES

Payments made for:

  • White Label Access
  • Reseller Programs
  • Partner Programs
  • Branding Customizations
  • Dedicated Infrastructure

are non-refundable.

10. EARLY TERMINATION

If a customer chooses to terminate, discontinue, or stop using the Services before the end of a subscription period, no refund shall be issued for the unused portion of the subscription.

Access may continue until the end of the paid billing period unless otherwise determined by the Company.

11. AUTOMATIC RENEWALS

Subscriptions automatically renew according to the selected billing cycle unless cancelled before the renewal date.

Customers are responsible for managing subscription renewals and cancellations before renewal charges are processed.

The 30-Day Money Back Guarantee applies only to the initial purchase of a new Annual Subscription Plan and does not apply to renewal payments.

12. ACCOUNT SUSPENSION OR TERMINATION

No refunds shall be provided where an account has been suspended or terminated due to:

  • Violation of Terms & Conditions
  • Fraudulent Activity
  • Abuse of Platform Resources
  • Spam Activities
  • Policy Violations
  • Non-Payment
  • Illegal Activities
  • Security Risks

13. THIRD-PARTY SERVICE CHARGES

The Company is not responsible for refunding charges imposed by third-party providers including but not limited to:

  • Meta
  • WhatsApp Business Platform
  • Payment Processors
  • SMS Providers
  • Email Providers
  • Cloud Infrastructure Providers

Such charges remain subject to the policies of the respective provider.

14. DUPLICATE PAYMENTS

In the event that a customer is charged multiple times for the same transaction due to a technical error, duplicate payments may be refunded after verification.

Verification may require:

  • Payment Proof
  • Transaction Details
  • Billing Records

Approved duplicate payment refunds shall generally be processed within a reasonable timeframe.

15. BILLING ERRORS

If a customer believes that a billing error has occurred, the customer must notify the Company within seven (7) days of the transaction date.

Failure to notify within this period may result in the claim being declined.

  • Banking Institution
  • Payment Method
  • Regulatory Requirements

Approved refunds are typically processed within 7 to 15 business days, although actual credit timelines may vary depending on the payment provider.

18. CHARGEBACKS & PAYMENT DISPUTES

Customers agree to contact the Company and make reasonable efforts to resolve billing concerns before initiating chargebacks or payment disputes.

The Company reserves the right to:

  • Suspend Services
  • Restrict Platform Access
  • Terminate Accounts
  • Recover Outstanding Amounts

where chargebacks or payment disputes are initiated.

Fraudulent or abusive chargebacks may result in legal action where permitted by law.

19. EXCEPTIONAL CIRCUMSTANCES

Refund requests arising from exceptional circumstances may be reviewed on a case-by-case basis.

The Company reserves sole and absolute discretion regarding:

  • Refund Eligibility
  • Refund Amount
  • Refund Method
  • Refund Approval

Submission of a refund request does not guarantee approval.

20. MODIFICATIONS TO THIS POLICY

The Company reserves the right to modify this Refund Policy at any time.

Updated versions become effective immediately upon publication on the website.

Continued use of the Services constitutes acceptance of the revised Refund Policy.
